Telephone Instructions (4010/4020)
Hold
- Press HOLD (icon flashes)
- To return to the call, press the flashing Extension/Line button.
Automatic Hold: If you press another line button while on an active call, your first caller is automatically placed on hold. To return to the first call, just press back into the first held line.
Handsfree - Mute
- Press the Speaker key to activate the speaker. Adjust the volume higher or lower by pressing the + or - keys.
- Press the Mute key and the caller cannot hear you. The light will blink. Press the Mute key again to be heard.
- Press the Listen key while on a handset call and the caller's voice will also come through the speakerphone for others to hear. Press the Listen key again to turn the speaker off.
To change the Ring Tone: With handset down, press Listen key until you hear the desired tone. Press + or - keys to select volume. Press the End key to store.
On-Hook Dialing
You may dial a number with the handset down and speak handsfree, or lift the handset to speak privately.
Last Number Redial
- Press the Redial button to dial the last number called from your phone. Lift the handset to speak, or
- Lift the handset first and then press Redial. The number is displayed on your screen.
You cannot Redial a Scan Call.
Transfer
- Have the first call on the line
- Dial the destination extension number (announce the call)
- Press Transfer then hang up
If you misdial or want to return to caller, press End before completing transfer.
If you place a call outside the District and wish to transfer it, press any open line button first, dial the number desired then press Transfer.
You may transfer to any telephone in the District.
If all line keys are in use, transfer will not function.
Conference (up to 3 people)
- Have the first call on the line.
- Dial the number you wish to connect in conference
- Press Conference key and parties are joined
You can Transfer a Conference Call.
Page
- Press the Page key and begin speaking.
- Press End
If you do not have a Page key dial the 3 digit page access code for your location.
Programming Autodial Buttons (using blank keys on phone)
- With handset down: Press: Menu key, "2", "+", "1"
- Dial the number you wish to store (just as you would dial it).
- Press the blank button.
- Press End – then label the button.
To dial the number, lift the handset and press the programmed button.
To Program Speed Dial Numbers
- Press: Menu key, "+" , "2", "+" , "2"
- Enter the number you wish to store in memory
- Press the Directory key (on 4020 phones looks like an open book)
- Select a corresponding code number on dial pad (1-9,*, 0, #)
- Press Menu key to store
To Call Stored Number:
- Press Directory Key
- Enter corresponding code number (1-9,*,0,#)
Call Forward - Turn On
- With the handset down, press the Forward key. Dial the extension to forward your calls to. (For Voicemail, dial 3333)
- Press End
Forward to Voicemail whenever you do not want your phone to ring.
You may forward your calls to any 4 digit number in the District
Call Forward - Turn Off
- With the handset down, press the Forward key.
- Press End.
Voicemail Envelope Key & Voicemail Notification
Press VM envelope key to see how many voicemail messages you have. If you have voicemail messages and you lift the handset, the system will say "You have messages". You can start dialing to override voicemail notification.
Other:
Your own extension will ring with a single ring; other lines on your phone will ring a double ring.
